Email and attachments

Email is not synchronized with your desktop PC – if you delete an email on your BlackBerry it will not be erased from your desktop PC unless you specifically configure it to do so.

Read email

From the Home screen:

1. Scroll the track wheel to select the Messages Icon (envelope)
2. Click once to open the Messages screen
3. Scroll again to select the email and Click the Return Key
4. Scroll to the top of the screen to view the current folder, the message status, the recipient(s), the sender and the date
5. Press the ESCAPE key to return to the messages screen
6. Click the track wheel to view the drop-down menu to choose action e.g. Forward, Delete, Save etc.
7. Press the ESCAPE key to return to the messages screen

Relying to an email

1. Select the email you wish to reply to
2. Click the track wheel and chose Reply
3. Enter you message
4. When finished click track wheel and choose Send

Tip: When reviewing the reply, hold down the Alt key and scroll the track wheel to move the entry point cursor from side to side rather than line to line. This Alt + scroll combination works in any mode on the BlackBerry where text can be selected, reviewed or entered

Note: You can choose to delete the original email text from the pop-up menu before you press Send. If you wish to do so choose Delete Original Text before clicking Send

Send a new email to a colleague – this example uses Nicki Jones

From the Messages screen:

1. Exit any email or attachment you may be in with the Escape key
2. Click the track wheel once and select Compose Email
3. On the To: prompt start entering the first few letters of the recipient surname for example Jon for Jones (if you make a mistake press Del key)

Note: As you type in the letters J o n a list of possible matches appears – this is taken from your contacts list that you have saved on Outlook in your desktop PC. As you enter more letters the matches list gets smaller or becomes completely empty except for

Lookup: plus the letters you have used.

If the name Nicki Jones does not appear in your contacts list choose Lookup: Jones and click the track wheel – this will search the Outlook Global Address Book just as if you were using your PC

Nicki Jones will not appear in this first list of 20 out of possible 32 matches – BlackBerry delivers these results in batches of 20

1. Click and select Get More Results from the menu list
2. When all 32 matches have been retrieved scroll down to Nicki Jones to select, click and Continue
3. Repeat if you want to add another name to the To: or Cc: field
4. Scroll and enter text into the subject line using the keypad
5. Scroll below the line and type your message
6. Click the track wheel again to view the drop-down menu
7. Select Send and click

Note: You can set the message importance to low, normal or high from the Options menu in the drop down list before you click Send

Note: The BlackBerry 8700 in its native form does not have any editing or spellchecking functions. The technology does allow for 3rd party applications to be installed on your handheld. Because of the secure BlackBerry infrastructure developed within the University, most 3rd party applications have to be installed from the BES 4.1 server.



Viewing an Attachment

1. Open a message containing an attachment – look for the paperclip on envelope icon in the message list
2. Open the message and scroll to [Attachment] or [x Attachments] line
3. Click the track wheel and choose Open Attachment
4. Click the track wheel and select Expand
5. Select Full Content and click track wheel and Retrieve
6. To end the view press ESCAPE key
7. Select next attachment and repeat

Note: You can save picture attachments such as jpeg and gif and view later with the built in picture viewer located in the Applications, pictures. The Applications folder is the yellow folder icon (next to the magnifying glass). To save a picture open it as an attachment then click and save and accept the suggested default path on the BlackBerry.



Calendar



From the Home screen:

1. Scroll the track wheel to select the Calendar Icon (pad with 2 on top)
2. Click to open the Calendar screen
3. Click again to view the drop-down menu
4. Select New and click
5. Use the track wheel to navigate the New Appointment screen
6. Scroll the track wheel and press ALT to change a field option
7. Click to view the drop-down menu
8. Select Save and click to store your latest changes



Note: You also have the option to edit, view and/or delete appointments but you need to select the appointment you wish to alter. Calendar changes are transmitted to your PC Outlook account seconds after making them. Similarly if you make a change to your Outlook Calendar then this will be transmitted to the BlackBerry.



Viewing and adding contacts

From the Home screen:

1. Scroll the track wheel to select the Contacts Icon (book)
2. Click once to open the Contacts screen
3. Scroll down you contacts list and click to View or Edit or add a New Address (do View and Edit in turn to see the differences)
4. Select New Address and click
5. Type your contact's details using the keypad
6. Press ENTER or scroll after each completed field
7. When you have completed data entry click for the drop-down menu
8. Select Save and click to store your new contact in alphabetical order

Note: You also have the option to search or delete addresses and create new user groups.



Tasks

From the Home screen:

1. Scroll the track wheel to select the Tasks Icon (clipboard)
2. Click once to open the Tasks screen
3. Click again to view the drop-down menu
4. Select New and click
5. Type your tasks using the keypad
6. Press ENTER after each completed field
7. Scroll the track wheel and Press ALT to change a field option
8. Click to view the drop-down menu
9. Select Save and click to store your new tasks

Note: You also have the option to view, edit or delete tasks and/or mark tasks as complete or delete completed tasks when you are in the tasks lists screen.



Memos

From the Home screen:

1. Scroll the track wheel to select the Memo Pad Icon (paper + pencil)
2. Click once to open the Memos screen
3. Click again to view the drop-down menu
4. Select New and click
5. Type your memo using the keypad
6. Enter subject and memo information
7. Click to view the drop-down menu
8. Select Save and click to store your new tasks

Note: You also have the option to view, edit or delete memos when you are in the memos lists screen

Phone



Making a call - to a new number

1. Press the Phone button
2. Type in number, press ENTER
3. Use track wheel to adjust volume if required
4. Press and hold the Escape button to end call

Note: Use your track wheel to change the volume. For loud speaker mode press the $ key (it has a speaker symbol - top half) next to the Enter key.

Note: To mute the caller, press the key to the right on top edge of the handset. Press the key again to return to normal mode.



Making a call - to an existing number or recent contact

1. Press the green phone key
2. Select the number from the recent contacts list shown or
3. Click again to view the drop-down menu
4. Select Call From Address Book
5. Scroll to select the required contact in the list
6. Click and select Call
7. Use track wheel to adjust volume if required
8. Press and hold the Escape button to end call



Answering a call

1. Press the green phone key to take the call
2. Use track wheel to adjust volume if required
3. Press the red phone key to end call

Note: If the caller is in your address list it will show their name and number

If you do not wish to take the call press the red phone key.



Web

From the Home screen:

1. Scroll the track wheel to select the BlackBerry Browser icon (globe)
2. Click the track wheel and select Go To …
3. Enter an address, e.g. www.tellcomm.co.uk using the keypad
4. Press Escape repeatedly when you have finished browsing, you should not be on the home screen

Note: Websites you have visited as saved as favorites which can be edited or deleted by selecting the link, clicking and choosing edit or delete.



Owner Details

From the Home screen:

1. Select the Settings Icon (phone + screwdriver)
2. Select Owner from the options list
3. Enter free text, e.g. name and contact details as you wish
4. From the drop-down menu click Save
5. Press Escape button to return to home screen


Password Security

From the Home screen:

1. Select the Settings Icon (phone + screwdriver)
2. Select Security Options then General Settings
3. On the Password line you see Disabled highlighted, click track wheel
4. Chose Change Option and Enabled
5. Set Security Timeout to longer if desired, say 2 minutes
6. It is recommended that you leave all other settings at default
7. Press Escape button and select Save to the changes made
8. Enter your new password at the prompt – minimum 4 alphanumeric
9. Verify new password at the prompt

Note: Your password is now set and enabled, you can disable again by following the above procedure and changing to Disabled.
